Assistant Direct Mail Production Project Manager
Full Time - Fully Remote
This position involves supporting senior managers in executing end-to-end print and mail campaigns. This position will interact between internal Account, Creative and Data teams, vendors, and clients by tracking schedules, coordinating data, print proofs, setups, insertion and ink jet signoffs, ensuring deliverables meet quality standards and postal regulations.
Because direct mail requires highly specific logistics, the role relies on several core responsibilities and workflows:
Key Responsibilities
- Schedule Tracking: Maintaining detailed production timelines from initial concept and design routing to final print, bindery.
- Vendor & Material Coordination: Generating bid requests, purchase orders, and ensuring individual components are ordered and delivered on time.
- Quality Control: Reviewing electronic and sometimes physical proofs and mock-ups to ensure accuracy of color, folding, and personalization.
- Postal Compliance: Assisting with USPS regulations regarding mail classes, addressing standards, and postal presort requirements.
- Status Reporting: Preparing timely status reports to communicate project progress across internal teams and clients.
- Budget & Administration: Track campaign costs, process vendor invoices, and assist in maintaining organized documentation for audit trails
Industry Tools & Software
To keep campaigns organized, professionals in this field frequently use a mix of production software, project tracking, and communication tools:
- Experience: 1–3 years in direct mail, print production, or marketing agency environments a plus, willing to train the right person.
- Project Management: You need a strong knowledge of Excel, Word and Power Point for building production schedules and tracking cross-functional tasks.
- Organizational Skills: Exceptional attention to detail and the ability to manage multiple overlapping campaigns
- Collaboration: Teams and Zoom for internal and client communications.
- Communication: Ability to nimbly communicate with cross-functional teams, clients, and third-party vendors.
Average Salary & Benefits
This entry to mid-level assistant role has a salary range between $45,000 and $60,000 annually, depending on experience and the complexity of the campaigns handled.
